Job title: Administrative Assistant

Location: Calgary, Alberta

Reporting to: Executive Director

Contract: Part-time (15 - 20 hours per week)

Salary & benefits: Starting at $18-20/hr, taking prior experience into consideration.

Introduction: SPECT is a unique charitable organization focused on reducing surgical risks for patients by improving surgical instrument reprocessing practices in resource constrained countries. We provide sterile processing training, mentoring and consulting services to healthcare facility workers.

Purpose of the role: The Administrative Assistant works closely with SPECT’s Executive Director (ED), assisting with administrative tasks and helping to coordinate programs. This is a part-time position with flexible weekly hours, depending on project needs.

Responsibilities include (but are not limited to):

  • Provide program support, including developing project proposals, responding to inquiries, exploring funding opportunities, taking care of logistics for training programs, and supporting communication and education initiatives.

  • Assist with organization and logistics for SPECT events.

  • Maintain and monitor information and statistics for project reporting.

  • Draft reports as required.

  • Be available to travel nationally and internationally to support SPECT programs as needed.

  • Assist with other job-related activities as directed by SPECT’s ED.

Skills and Experience:

  • 2+ years working in an administrative assistant role, as a project coordinator, or similar position.

  • 2+ years of international experience in a resource-constrained country.

  • Proficient with Microsoft Office applications.

  • Professional oral and written communication and interpersonal skills.

  • Excellent organizational skills and the ability to meet deadlines.

  • Demonstrated cultural competence.

  • Ability to work independently and/or with a cross-cultural team.


  • 1+ years working with a non-profit organization.

  • Fluent in French.
